Office Manager

Responsibilities:

  • Preparation of office space for working day. Control the order in office rooms, meeting rooms during working day.
  • Maintain the necessary inventory of stationary
  • Cooperate with the operational services, municipal organizations for providing the rooms with the resources, carrying out the repair works
  • Carry out the inventory of the office equipment and furniture personally according to the list and schedule of the inventory
  • Preparation of all necessary internal and external documents (contracts for the delivery of stationary, for technical service and repair of the office equipment, consumables and other material and technical valuable) required for the office work
  • Documents management, distribution of incoming calls
  • Preparing of migration documents, solve the issues concerning the execution of visas and work permissions for foreign employees and family members
  • Organization of mobile connection for employees
  • Organize the business trips of the employees: order air and railway tickets, book the hotels, taxi. Provide HR manager, payroll specialist, accounting staff and other interested incumbents with the information on the business trips

What do I need to qualify for this job?

  • Upper-Intermediate English (spoken, written) - MUST HAVE
  • University Degree;
  • Administrative experience (as an Office-manager at least 3 years in International (preferable Japanese) company;
  • Experienced PC user (MS Excel, Word) - MUST HAVE;
  • Experience in questions of migration (High qualified specialists) - MUST HAVE;
  • Good business-communication skills;
  • Self-disciplined, organized & responsible person;

Payroll and HR administration specialist (temporary contract)

Responsibilities:

  • Primary accounting and personnel documents preparation for HR purpose;
  • Payroll calculation (full cycle);
  • Payroll transfer via bank-client system;
  • Payroll taxes reporting (e-reporting system);
  • Statistic reporting related HR;
  • HR Administration process (full HR personnel documentation work), headcount – up to 100 person

What do I need to qualify for this job?

  • Higher education (profile desirable);
  • 3-5 years experience in similar position;
  • Experience in work with 1C.8 bases, bank-client systems;
  • Personnel documentation experience;
  • Knowledge of Russian Tax Code, Labor Code;
  • Diligence, responsibility, accuracy, efficiency, ability of work with large volume of numerical information, and operationally dispose the feedback, good memory, ability of work hard and under pressure;
  • English language (as advantage)

Receptionist

Responsibilities:

  • Organize the reception, greeting, registration and necessary service of the visitors, guests, delegations, customers, partners;  make tea/coffee
  • Organize the reception and distribution of incoming calls
  • Organize reception, registration and distribution of incoming/outgoing documentation
  • Working with courier services, prepare posting
  • Provide the safety of the office documentation undergone, keep the documents of the current archive
